Preparing Cotton Tote Sample Shipping Documents

Prepare cotton tote sample recipient details, product descriptions and carrier document questions. Send Gahumi your sample requirement and delivery brief.

A sample is ready to leave, but its parcel is addressed to the buying company rather than the designer who will receive it. The delivery contact is missing, and the accompanying description says only “sample”. The sample has not been reviewed yet, but its delivery already has unanswered questions.

Prepare documents that match the actual sample parcel and its journey. Prepare the recipient details, product identity and shipment questions before asking a supplier to book collection.

Name the receiver and the buyer separately

A sample recipient record should identify the organisation buying the project, the physical delivery address and the person able to receive the parcel. Where they differ, show each role clearly rather than copying one address into every field.

Confirm the postcode, contact details and receiving arrangements with the intended destination. Ask whether someone must make an appointment or provide information to the booked carrier. A showroom, agency and warehouse may use different receiving routines.

Keep the required review date visible, but distinguish it from a promised delivery date. The order planning guide covers the broader schedule. This record prepares the specific parcel that must reach the reviewer.

Identify what is actually in the parcel

A tote sample description should explain the item, verified material details, quantity and purpose of sending it. Identify whether the parcel contains a finished printed bag, an undecorated development sample or separate fabric pieces.

Keep those descriptions consistent with the sample references used by the project team. If the sample differs from the proposed bulk product, identify the difference in the review notes. Do not describe a development example as the final product merely to simplify the paperwork.

Ask the sender which weights, values, origin details or other fields the carrier requires for the booked route. Provide accurate supporting information and refer classification or declaration questions to the responsible carrier, broker or customs adviser.

Should the paperwork just say free sample?

Ask the booked carrier what description and value information it requires. A sample supplied without a sales charge still needs to be identified accurately; the project’s payment arrangement does not answer every shipment-document question.

DHL Freight Finland’s invoice guidance illustrates fields such as goods description, shipment purpose, recipient information and values for customs purposes. Its route-specific context is an example of carrier documentation, not a universal declaration template or a promise about duties.

A sample invoice review should compare the proposed document with the parcel contents and the carrier’s current instructions. Resolve missing or conflicting fields before collection, with the responsible shipping party confirming the final document.

Agree who responds when the carrier asks

A courier query contact should be someone authorised to coordinate shipment questions during the journey. Give that person the sample identity, tracking reference and agreed way to contact the sender or intended receiver.

Ask who will deal with any requested information or payment under the agreed shipment terms. Keep unresolved responsibilities visible before booking. Do not infer that a small parcel, a free sample or a familiar destination means there can be no additional steps.

If the carrier asks a question the buyer cannot answer, return it to the appropriate shipping party. Avoid replacing a missing fact with an estimated product description or an unsupported material claim.

What if the sample is being sent back?

Tell the carrier or broker about the intended outward and return journeys before choosing the paperwork. Ask what identification and documents are needed for that specific arrangement. Keep the original shipment reference available without assuming it can simply be reused.

For an ordinary delivery intended to remain with the buyer, record that plan too. The purpose of the sample journey should be consistent across the booking, project notes and recipient instructions.

Once received, the bag can enter the separate physical sample approval process. A delivery signature only records receipt; it does not decide whether the construction, artwork or material is accepted.

Prepare the sample request and receiving details together

Send Gahumi the sample requirement, project specification, delivery country and postcode, intended recipient and review date. Explain any planned onward or return movement. Ask which sample, shipping and document arrangements can be confirmed, and identify who will review the route-specific paperwork.

Request a clear statement of the agreed charges and responsibilities before dispatch. Keep the enquiry focused on obtaining the right identified sample rather than assuming a particular courier, clearance service or arrival promise is included.
