A brand has already bought the canvas for its next tote. The rolls will travel from the fabric supplier to the bag maker, while the brand approves the print from another office. Before anyone cuts the first panel, those three parties need a shared account of what arrived and what can be used.
Buyer-supplied cotton canvas for tote bags needs an intake decision as well as a delivery address. Ask the proposed manufacturer whether it can assess such an arrangement. Receiving customer-owned material, storing it and manufacturing from it are not services to assume from an ordinary finished-bag quotation.
A roll reference should follow the physical cloth
Prepare a fabric roll receipt record naming the sending party, material reference, colour or dye lot, roll identifiers and expected quantity. Include the stated composition, usable width and finish where known. Describe whether the quantity is a measured length, labelled length or weight; the units are not interchangeable.
On arrival, ask the receiver to record the roll references, apparent condition and quantity checked using an agreed method. An outer delivery note saying two rolls does not establish how many usable metres are inside them. Missing or uncertain information should remain visible rather than be filled in from the purchase estimate.
Intertek’s textile inspection overview includes incoming raw-material checks and the assessment of fabric dimensions and appearance. That supports reviewing the cloth before production; it does not establish that a particular bag factory offers an independent inspection service.
Receipt is not permission to cut
Cutting authorisation for supplied canvas should identify the material released, accepted bag version and person making the decision. Keep it separate from the acknowledgement that a delivery was received.
If a roll is short, damaged or different from the expected reference, agree who reviews the discrepancy and how the affected material is held while questions remain open. Do not ask the cutting team to resolve an ownership dispute or make an unapproved material substitution.
Can a received fabric roll go straight into tote production? Only after the project-specific acceptance and release arrangements have been satisfied. A parcel signature or matching colour name does not answer whether the material is suitable for the intended construction and print.
Review the cloth alongside the proposed bag and decoration. The fabric bow and skew brief identifies one possible cutting consideration. A previous result on a different canvas should not automatically become evidence for this supplied roll.
Set the boundaries while the material is still intact
A customer fabric custody record should identify the material holder, permitted use, location and agreed reporting route for a problem. Ask the parties responsible for the actual arrangement to settle ownership, loss, insurance and costs with appropriate advice. This article does not assign legal responsibility or provide contract wording.
Agree whether the proposed quantity includes sampling and development use, and how an additional requirement would be requested. The supplier needs to assess consumption against the actual pattern, fabric width and condition. Do not turn an early estimate into a guaranteed cutting yield.
If the intended body is 100% cotton, keep suitable composition evidence connected to that supplied fabric. Thread, lining, labels and decoration remain separate components. A buyer’s own roll is not automatically organic, recycled or environmentally preferable to a factory-sourced alternative.
What happens to unused buyer-supplied canvas?
Agree the possible return or holding route before production, then reconcile the actual balance afterwards. Record usable lengths separately from cutting remnants and material used for samples. Unused cloth should not quietly become permission to produce additional branded bags.
The offcut close-out guide covers that later balance and its destination. The intake record in this article establishes the starting material and release decision. Keep both references with the accepted bag sample record so the cloth received and the bag approved do not become separate stories.
For an initial enquiry, send the fabric specifications, quantity basis, roll locations, intended bag and required decoration. Ask Gahumi whether a buyer-supplied material proposal can be reviewed before arranging transport or committing the fabric.
