BUYER GUIDE

Ask for Cotton Tote Production Progress in Counted Stages

Make cotton tote production updates useful with counted stages, dated evidence and open decisions, keeping completed bags separate from packed shipments.

Use the full cotton tote ordering checklist to keep these stage updates connected to the agreed product and approval references. A named production count is useful for planning the next action, but is not the same record as collection or arrival.

The update says the bags are nearly ready. That sounds encouraging, but it does not tell purchasing whether to arrange a review, answer an artwork question or discuss collection. The missing detail is often what has been counted as ready.

A cotton tote bag production progress report should make the current stage understandable against the accepted order. Ask for identified quantities and dated facts, with remaining operations and open decisions kept visible. Agree the reporting detail that is practical for the project.

Give every quantity a stage and a reference

Start with the order line, bag version and planned quantity. Then identify what a reported figure represents: fabric prepared, panels decorated, bags assembled, units reviewed or units packed. Do not add these numbers together as though each describes different finished bags.

For example, an illustrative update could show 200 front panels printed and 60 bags assembled. It does not show 260 finished totes. These are different stages, and the same physical pieces may appear in both figures. The example is not a minimum order or a Gahumi production record.

If the design includes a reverse print or an added component, keep that operation visible. Completion of the front decoration alone should not stand in for completion of the specified bag.

Replace an unexplained percentage with a usable statement

Ask what the denominator and completion point would be before relying on a percentage. A figure based on cut fabric cannot be compared directly with one based on packed bags.

A counted stage update can instead read: identified design line, quantity at the named operation, date of the count, evidence reference and what remains. This lets the buyer understand the report without guessing how a blended progress score was calculated.

The Oracle manufacturing work-order reference records actual start, actual completion and completed quantity as distinct information. That distinction is useful here; it does not imply that Gahumi uses that software or promises a particular reporting system.

Record the reach of the evidence

A progress photograph can identify a visible operation or the bags shown in it. It should not be taken as proof that all units in the order have reached the same stage. Ask which line and quantity the image represents and when it was taken.

Beside each update, note exactly which stock the evidence covers. It can say that a photograph shows one design, while a separate dated count covers that line. If the quantity basis is unconfirmed, leave it unconfirmed rather than extending the photograph to unseen stock.

For mixed artwork orders, preserve the design split. One completed design must not hide another design waiting for a decision simply because the overall order contains similar bags.

Put holds where someone can act on them

Separate work awaiting a buyer answer from work reported as completed. A useful open-decision entry identifies the affected bag line, the question, who needs to respond and the next step after an answer.

If a material substitution is proposed, request its details and approval status. A brief specifying a 100% cotton body does not verify an alternative fabric or the composition of trims. An update photo cannot confirm those material facts by appearance alone.

Similarly, progress evidence does not establish organic certification, repeated-use performance or a lower environmental impact. Keep proposed care and environmental statements tied to their own support and review.

Distinguish finished bags from a shipment ready to collect

Assembled, reviewed, packed and collected are separate states. Ask what remains between the reported stage and the handoff you need. A reported completion date is not proof of transport collection or arrival at your destination.

The sample approval guide helps identify the agreed physical reference. Our packing guide covers the later carton handoff without turning production progress into a transport guarantee.

For a Gahumi order discussion, identify the decisions your team needs the update to support. Ask which stage counts and supporting references can be provided, and agree when another update would be useful. Reporting frequency, availability and timing need confirmation for the actual project.
