Sending Cotton Tote Despatch Advice to a Retail Warehouse

The purchase order is not the shipment notice. Confirm the receiver's format and reconcile the actual tote quantities, cartons and acknowledgement before arrival.

Cartons stored on blue and orange racks in the Gahumi warehouse

The retailer has the purchase order. The carrier has a booking. The warehouse still asks which cartons are coming and what is inside each one. Sending the original order again will not answer a question about the actual shipment.

A cotton tote advance shipping notice connects the goods being sent with the receiving operation’s expected data. Some warehouses call it a despatch advice or ASN. Start with the receiver’s requirements rather than assuming that every European warehouse uses the same message or software.

Ask what the receiving system can accept

Get the warehouse’s current instructions from the buyer or its logistics contact. Ask who sends the notice, which identifiers it uses, what format is accepted and when the information must arrive. A spreadsheet, portal entry and structured EDI message are different handoffs; an email attachment is not automatically a substitute for the required route.

For a small shop, an agreed delivery email may be all that is needed. A distribution centre may require a tested electronic message. Confirm the actual arrangement and any onboarding work before including it in a bag supplier’s scope.

GS1 Singapore’s shipping guidance describes using consistent identifiers to connect the physical logistics labels, advance notice and invoice. That is a useful standards-based reference, not proof that your retailer requires a specific GS1 implementation.

Send the shipment, not the purchasing intention

A cotton tote despatch advice should distinguish the accepted order from what is actually travelling. Identify the shipment and purchase-order references, destination, actual designs and quantities, plus the logistics-unit detail required by the receiver.

List what is in the cartons actually being sent, not the earlier intended assortment. Where the receiver uses SSCCs, connect each relevant logistics-unit identifier to its contents under the agreed system. Do not invent an SSCC or treat a retail product barcode as an interchangeable carton identifier.

Suppose a shipment contains two prints made from the same cream cotton canvas. The first has been packed in single-design cartons, while the second shares a controlled assortment carton with another colourway. An overall figure for cotton bags hides the distinction that the receiving staff need.

The carton packing plan supplies the physical reference. The notice carries the corresponding shipment information through the receiver’s accepted channel. Keep both attached to the same working version.

Does a sent ASN mean the warehouse has accepted it?

No. Ask how the receiver confirms successful receipt or processing and how it reports errors. A message in the sender’s outbox does not establish that a portal import succeeded or that an unknown product code was resolved.

A warehouse notice acknowledgement should remain associated with the shipment reference. If a test message is required, identify it as a test and agree how it will be kept separate from a real incoming delivery. This article does not claim that Gahumi operates an EDI connection or a particular retailer integration.

Check unfamiliar codes before loading day. A new tote size, handle colour or print may need its own accepted product reference in the retailer’s system. The product-data handoff covers that earlier information; the ASN does not silently create a missing product record.

What if the tote shipment changes after the notice?

Follow the receiver’s confirmed correction, replacement or cancellation procedure. State which shipment reference and quantities are affected. Ask for the status of the earlier notice rather than sending a second unexplained file that could look like another delivery.

Keep the actual loaded quantity, final notice, labels and packing list reconciled. If a destination changes, review the store allocation and booking as well; editing a notice does not itself change the carrier’s instruction.

Receiving data does not verify a cotton-content statement or an environmental benefit. Preserve the agreed material and product references without adding organic or sustainability claims merely to fill a description field. The same reusable tote must remain identifiable from the product record to the received carton.

Bring the warehouse instructions, bag specification, SKU split and proposed shipment route to the quotation discussion. Ask which information the supplier can provide and which tasks remain with your nominated logistics or data provider.
