Keep the named delivery basis with the complete tote order specification. The wider checklist identifies the product, approval and packing decisions that must travel with the quotation; the delivery rule does not replace those details.
Two cotton tote offers use the same unit price but leave different transport questions unanswered. One includes carriage to a named destination; the other stops at an earlier point. Comparing the price alone will not reveal who must arrange the next step.
A cotton tote bag Incoterms quotation needs the chosen rule, a precise named point and its edition together. The three letters are not a complete bag specification, a payment agreement or a promise that the goods will reach a shop by a particular date.
Read the rule and place as one instruction
For the named delivery point, ask the supplier to identify the exact port, premises or other point associated with the intended Incoterms rule. Keep the stated edition in the commercial record. A city name can leave a significant location question unresolved.
The ICC explanation distinguishes obligations, risk and costs. It also explains that a named destination is not necessarily the point where risk transfers. Do not assume the party paying for a long transport leg bears the risk throughout it.
Have the responsible logistics or commercial adviser check the proposed term for the actual route. Avoid changing the three-letter code merely to make two quotations look alike; the surrounding responsibilities must genuinely match.
Hold the cotton bag specification steady
Before comparing delivery terms, confirm that both proposals cover the same finished tote. Keep dimensions in centimetres, fabric weight in g/m², components, print, quantity split and packing reference attached.
If the brief requires a 100% cotton body, confirm that requirement independently of the delivery term. The Incoterms code tells you nothing about fibre content, organic evidence, finished-bag care or fitness for repeated use.
Use our cotton tote quotation guide for the manufacturing fields. An apparent transport saving is not comparable if one price also removes a printed side or changes the bag construction.
Make the responsibility questions visible
Create a delivery responsibility sheet listing the route stages, the responsible party, the reference supporting that answer and any point still open. Ask about collection, carriage, formalities, loading or unloading and destination charges as relevant to the chosen proposal.
Keep included charges separate from items awaiting a forwarder or importer quotation. Do not fill an unknown duty, tax or local handling amount with zero. A term allocation does not supply the actual monetary value.
For example, a retailer’s distribution centre may be the commercial destination while its booking instructions name a particular receiving area. Put the agreed point and the receiving requirements into the appropriate records rather than assuming a general warehouse address answers both questions.
Keep the rest of the transaction outside the code
Incoterms do not determine the payment schedule or transfer of ownership. Record those matters separately with the parties responsible for agreeing them. The ICC also makes clear that the rules are not a substitute for the contract of sale.
Likewise, agree production readiness, dispatch planning and any required arrival date separately. Paying carriage to a point does not establish a guaranteed transport time. If a store launch depends on arrival, ask the logistics parties what can actually be confirmed.
The multi-store allocation guide handles the later location split. Do not use it to infer that Gahumi offers every requested delivery arrangement.
Close the quotation questions before accepting
Retain one version that connects the bag specification, quantities, named term and point, price scope and unresolved charges. Ask for clarification where the order wording and quotation differ.
Keep environmental copy out of this comparison unless independently supported. A different transport responsibility or a reusable cotton design does not by itself demonstrate lower emissions.
Send Gahumi the tote brief, quantity range, destination and proposed delivery basis. Ask which arrangement can be quoted and what still needs importer or logistics confirmation. Use the enquiry to clarify the transaction rather than treating an abbreviation as agreement on every detail.
